Privacy Policy
Last updated: June 20, 2026
PrivateBoard is a local-first application. Your boardroom sessions live on your own device, and we — the makers of PrivateBoard — operate no server that receives, stores, or sees your content. This policy explains exactly what stays on your device, what leaves it (and only to the providers you choose), and what we never collect.
01Who we are
“PrivateBoard” (also referred to as “the app”, “we”, “us”) is an application for iOS and desktop that convenes a panel of AI “directors” to discuss your questions. This policy applies to the PrivateBoard app on all platforms.
02The short version
- We have no backend server. Your rooms, messages, agents, votes, and settings are stored locally on your device.
- We do not collect, transmit, sell, or share your personal data.
- There is no analytics SDK, no tracking, no advertising, and no crash-reporting service of any kind.
- The app talks directly from your device to the AI, voice, and search providers you configure with your own API keys. Those providers process that content under their own privacy policies.
- Optional iCloud sync (off by default) keeps your content in step across your own Apple devices via your own iCloud account — still no server of ours, and we never see it. See Section 3.
03Data stored on your device
Everything you create in PrivateBoard is written to a local database on your device (and on iOS, your API keys are stored in the system Keychain). This includes:
- The questions you ask and the boardroom transcripts that result;
- The AI directors you create or seat, and their configuration;
- Round votes, key points, notes, and generated briefs/reports;
- App preferences (theme, voice, delivery mode, etc.);
- The API keys you enter for third-party providers.
This data never leaves your device except as described in Section 4, or — if you turn it on — the optional iCloud sync described just below. It is not backed up to any server we control. (It may also be included in your own device/iCloud backups, which are governed by Apple’s policies and your settings.)
Optional iCloud sync (off by default)
You can optionally turn on iCloud sync (in Settings → iCloud Sync) to keep your directors, chair/agent memories, rooms, and transcripts in step across your own Apple devices. It is off by default and entirely optional. When you enable it:
- Your content is written to your own iCloud account (Apple), in the app’s private iCloud container, and synced by Apple between your devices. That storage is governed by Apple’s privacy policy and your iCloud settings.
- We still operate no server, and we never receive, store, or can read this content — it travels device → your iCloud → your other devices, never through us.
- Your API keys are never placed in the synced content. (If key sync is offered, it uses Apple’s iCloud Keychain, between your own Apple devices only.)
- It is fully reversible: turning it off stops syncing, and you can also remove this device’s synced data from iCloud from the same screen.
04Third-party providers you connect
PrivateBoard has no AI of its own. To generate discussion, synthesize voice, or search the web, the app sends the relevant content directly from your device to the provider(s) you have configured, authenticated with your own API key. We are not an intermediary — that traffic does not pass through any server of ours.
Depending on which features and providers you enable, the content sent may include your prompts, the discussion transcript, agent instructions, and (for voice) the text to be spoken or (for search) your search query. The providers and what they receive:
| Provider | Used for | Their policy |
|---|---|---|
| Anthropic (Claude) | LLM directors | privacy |
| OpenAI | LLM directors, voice | privacy |
| Google (Gemini) | LLM directors | terms |
| OpenRouter | LLM routing | privacy |
| MiniMax | Voice (text-to-speech) | privacy |
| Tavily / search | Optional web search | privacy |
You choose which providers to enable. If you do not enter a key for a provider, no data is sent to it. Web search is optional and only runs when enabled. Your use of each provider is governed by that provider’s own terms and privacy policy; please review them, including whether they retain or train on submitted content.
05What we do not collect
- No accounts, sign-up, names, or email collection by us.
- No usage analytics or telemetry sent to us or any third party.
- No advertising identifiers and no tracking across apps or websites.
- No location data.
- No crash or diagnostic reporting service.
06App Store privacy label
Because PrivateBoard collects no data on the developer side, the app’s App Store privacy label is declared as “Data Not Collected.” Content you send to a third-party AI/voice/search provider is handled by that provider, not by us.
07Data retention & deletion
Because your data is local, you are in control of it:
- Delete an individual room to remove its transcript and related data from your device.
- Remove a stored API key in Settings to revoke the app’s access to that provider.
- Uninstalling the app removes its local database from your device.
To delete content you have already sent to a third-party provider, use that provider’s own controls or contact them directly.
08Security
API keys are stored in the operating system’s secure credential store (the iOS Keychain). All requests to third-party providers are made over encrypted HTTPS connections. As with any local data, the security of your device (passcode, disk encryption) protects your content.
09Children
PrivateBoard is not directed to children under 13 (or the equivalent minimum age in your jurisdiction) and we do not knowingly collect data from them. Since we collect no data at all, no such information is gathered.
10Changes to this policy
We may update this policy as the app evolves. Material changes will be reflected by a new “Last updated” date at the top of this page. Continued use of the app after an update constitutes acceptance of the revised policy.
